Access

Bookings are subject to access requirements being satisfactory which will be confirmed with you at the time of booking. The equipment we will be bringing to your venue is large and heavy and therefore it is vital for us to understand any access issues we may face when arriving.

By signing our hire agreement you confirm that:

  • We will be able to unload our van on a flat, firm, smooth surface

  • The route from van-unloading to where the bar is to be set up must be

    • free of steps or other obstructions (if any kerbs or obstructions do exist, you must tell us in advance of the event)

    • a hard, smooth surface for the entire route if it is gravel or grass you must tell us in advance

    • if the event is not on the ground-floor, a goods lift of at least 2m x 2m with a weight capacity of 700kg must be available to transport the bar to the serving floor

    • there are no width or height restrictions along the route of less than 1.5m wide or 2m height

  • If the event is indoors, doorways need to be large enough to accommodate the sections of our bar:

    • Mobile bar requires 1m(w) x 2m(h) doorways

    • The Static bar requires 1.5m(w) x by 2m(h) doorways

  • The area where we set up the bar for serving is on a flat, hard and smooth surface

  • You will be asked if we can park our van onsite for the duration of the event. An extra charge may be applied if free parking for a Luton sized van isn’t available on-site, or if you are in a Congestion Zone / ULEV Zone

If you fail to inform us of any access issues shown above we may be forced to cancel the booking on arrival. No refunds will be issued in these circumstances.

 

Serving Environment

By signing our hire agreement you confirm that:

  • You will be providing exclusive (i.e not shared) access to one 13 amp domestic-type power supply within 15m of the bar (if a 16 amp commercial power supply is to be used please let us know prior to the event)

  • You have all necessary permissions needed for us to trade at the serving location

  • You have full insurance for your event

  • If outdoors, you will provide suitable cover in the case of inclement weather (if you are unable to do this please let us know in advance)

 

Payments

Deposits: A deposit of 20% is payable to confirm your booking. This will reserve your event’s date and time in our calendar.

  • The balance must be paid in full 30 days prior to your event.

  • If you are booking an event with less than 30 days’ notice, the full amount must be paid in advance.

Cancellations

  • Deposits and pre-payments are fully refundable if notice of cancellation is received 30 days or more ahead of your event.

  • Events canceled with 8-29 days’ notice will receive a 50% refund.

  • Events cancelled with less than 8 days notice will not be refundable.

  • If the government announce Covid restrictions which oblige you to cancel your event, 100% of any fees paid will be refunded.

  • If the weather is poor we may cancel an outdoor event without notice. A full refund will be made should this occur.

  • If you fail to inform us of any access issues shown under “Access” above, we may be forced to cancel the booking on arrival. No refunds will be issued in these circumstances.

Service

  • Our standard quote includes 3 hours serving time and includes one hour either side for setting up and breaking down

  • Our standard quote does not include waiting time, e.g. if you require the bar to be set up in the morning for an evening event. Extra charges will be applied if significant waiting time is required.

  • Our quotation is issued on the assumption that we will be serving between the hours of 10 am and 9pm.

  • The hours after 9pm and before 10am are termed “Out of Hours”.

  • If you require more than 3 hours of serving time or the event is expected to be Out of Hours, this must be agreed with us in advance

  • If our servers are asked to work beyond the agreed hours without prior arrangement, they may not be able to accommodate you.

  • Extra hours worked outside of agreed times will be invoiced at £25 per hour + VAT

Extra Servings

Extra ice cream servings are sold in batches of 50 at £100+VAT and can be purchased on the day by credit / debit card.
